  • EABA is looking for dedicated Volunteers to Join our Board. You would be a part of making decisions and the future path of our Organization.

Volunteers are essential for success as an association. "Many hands make for light work!"  EABA thanks you in advance for your time and commitment to help us create a fantastic year of ball for your player.

In addition to the selling of raffle tickets, which were committed to with registration, some of the areas where parents will be asked to help as a way to fulfill team volunteer duties include, but are not limited to:

  • Fulfilling team positions such as:
    head coach, assistant coaches, manager, parent liaison, raffle coordinator, team treasurer
  • Diamond clean up
  • Working at the bi-annual Casino
  • Rally Cap evaluations 
  • Scorekeeping and pitch counting at the 11U level and higher

Helping in these areas will be tracked by you or your team manager to be able to have your volunteer commitment cheque voided, and ultimately allow us to keep registration fees affordable.

EABA Board

 

Edmonton Amateur Baseball Association
Executive Board Positions

Operations:

President

  • President presides over the entire association and asset other board members
  • Delegates' duties and builds relationships for EABA
  • Runs all board Meetings
  • Attends EABA on-field events
  • Builds relationships with other stakeholders including the City of Edmonton, other associations, Baseball Alberta and EABA members
  • Fills all Vacant positions on the board
  • 2-year term

Vice President

  • Presides over the operations of EABA in the absence of President
  • Works with officers and other members of EABA
  • Attends EABA on-field events
  • Carries out duties assigned by the President
  • Assists with the vacant board positions
  • 2-year term opposite of the President

 

Secretary 

  • In charge of sending out all correspondence of the society, to the members and executive via electronic mail.
  • Keeps a record of minutes for all Executive meetings.
  • In the absence of the President and or the Vice President, the Secretary will preside over the EABA operations
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with
    board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Treasurer

  • Treasurer receives all monies paid to EABA and shall be responsible for the deposit of funds
  • Arranges signing authority on all accounts
  • Presents a full detail account of receipts and disbursements to the Executive committee during monthly meetings
  • Prepares financials for audits
  • Ensure all payee are paid in full
  • Works with registrar and its presentment during in person registration and camps
  • Present when any monies are being taken or counted
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

Registrar 

  • Receives registrations and distributes information to appropriate board members and coaches. This includes, but not limited to team rosters, player registration count and Association registration
  • Divides players into age appropriate divisions with the assistance of President and Division Directors
  • Communicate effectively with EABA executives, coaches, umpires, parents as required
  • Understanding of EABA policies and procedures, bylaws and code of conduct
  • Is present during registrations and evaluations
  • Answers any and all questions that members may have regarding registration
  • Book in person registrations and obtain the needed liability insurance
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with
    board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Directors

BlastBall / Rally Cap / 9U Director

  • Responsible for corresponding with coaches regarding schedules, program details, evaluations, tournaments and policies and procedures throughout the season
  • Present during registrations, camps, evaluations and building of the Blastball, Rally cap & 9U teams
  • Ensure teams are balanced
  • Follow up on any concerns that may occur during the regular season
  • Plan 2 Rally cap evaluations during the season
  • Works with Uniform Manager to order Rally Cap hats if needed at beginning of season
  • Responsible for creating a transition between Rally cap, 9U and 11U programs
  • Plan the EABA year-end tournament/event and or register teams into tournaments
  • Attend on field events and be present at games / practices
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with
    board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

11U / 13U Director (vacant)

  • Oversees the operations of the A program for the 11U and 13U levels on and off the field
  • Corresponding with coaches and team managers regarding regular season schedules
  • Follow up on any concerns that may occur during the regular season
  • Present during registrations, camps, evaluations and building of the 11U / 13U A teams
  • Attends any meetings at the beginning of the season pertaining to set up of the season
  • Helps create the game schedules with partnering Associations and President
  • Attend games and practices throughout the year
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with
    board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

15U / 18U A Director (vacant)

  • Oversees the operations of the A program for the 15U and 18U levels on and off the field
  • Corresponding with coaches and team managers regarding regular season schedules
  • Follow up on any concerns that may occur during the regular season
  • Present during registrations, camps, evaluations and building of the 15U / 18U A teams
  • Attends any meetings at the beginning of the season pertaining to set up of the season
  • Attend games and practices throughout the year
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with
    board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

AA Director (vacant)

  • AA Director oversees the operations of the AA program for all levels on and off the field
  • Corresponding with coaches and team managers regarding regular season schedules
  • Follow up on any concerns that may occur during the regular season
  • Registers AA teams in tournaments- Starting in January/February
  • Present during registrations, camps, evaluations and building of the AA teams
  • Attend games and practices throughout the year
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with
    board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Girls/Womans Baseball Director- NEW! (vacant)

  • Assist in growing the participation of female athletes in baseball
  • Develop goals and objectives that fit within EABA's values to connect with female athletes and provide supportive programming
  • Create partnerships and work with local organizations to promote and support female players within EABA
  • Promote inclusiveness and accessibility
  • Work with EABA's Technical and Coaching Directors to develop female focused programming
  • Work with Webmaster to highlight program and achievements to promote and inspire others
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Coaching Director

  • Coaching Director provides support, mentorship and direction for all coaches with the Association
  • Ensure all coaches have the proper certifications, training and other requirements are clearly communicated and met by coaches
  • Must have coaching experience to be able to offer mentorship & support
  • Work closely with the EABA Technical Director to support player development
  • Support the respective level directors in coaching recruitment
  • Be present at evaluations and on & off field events
  • Attend monthly board meetings to report on behalf of all coaches
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Coordinators

Facility Manager (vacant)

  • Works with the City to allocate diamonds and Winter camp locations
  • Attends diamond allocation meetings
  • Schedules all practices for teams
  • Works with Registrar, Technical Director and Webmaster to organize camps
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with
    board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Webmaster

  • Ensures website is maintained and up to date
  • Information is easy to access and to find on the website
  • Inputs information for teams into TeamSnap
  • Monitors EABA email accounts
  • Works with Registrar and Treasurer for online registration
  • Coordinates with Social Media coordinator and Secretary to promote EABA through the website
  • Troubleshoots and works with Ramp and TeamSnap to fix issues
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with
    board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Umpire Coordinator

  • Advertise and recruit for umpires within EABA
  • Ensure umpires attend appropriate training
  • Scheduling of umpires during the regular season for all A teams and ERRBL playoffs
  • Ensure umpire hours are recorded and given to Treasurer for payment monthly.

 

Equipment Manager

  • Organizes and inventories all equipment owned by EABA
  • Purchases and replaces equipment within budget when needed - Order in January
  • Ensure the teams have the proper level of equipment throughout the season
  • Prepare equipment bags for all teams prior to the season
  • Prepare equipment for winter camps, summer clinic and fall ball
  • Coordinate with coaches of all levels for pick up and drop off of equipment
  • Organizes and inventories all equipment owned by EABA
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with
    board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Uniform Manager

  • Organizes and inventories all equipment owned by EABA
  • Orders all apparel for EABA to have prior to the start of the season
  • Orders hats for Rally Cap players from Baseball Alberta when needed
  • Coordinates with teams for pick up and drop off of jerseys for regular season / fall ball
  • Set up AA apparel sizing and ordering of team apparel
  • Sets up and coordinates apparel display during registration and photo day
  • Responsible for tracking apparel sales and providing information and monies to EABA Treasurer
  • Organizes and inventories all apparel owned by EABA
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with
  • board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Volunteer Coordinator 

  • Organizes volunteers throughout the season for EABA events
    (i.e. Diamond clean-up, Rally Cap evaluations, Year-End celebrations, etc.)
  • Attends events to coordinate volunteers
  • Tracks all the volunteers throughout the season and provides the list to Treasurer at end of the season
  • Provide assistance to teams for tracking and providing volunteer opportunities
  • Assist teams with coordinating tournament volunteers
  • Coordinate volunteers for Casino (Every two years)
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Fundraiser Coordinator (vacant)

  • Develop new fundraising objectives and guidelines
  • Develop and coordinate multiple fundraising events throughout the year
    (e.g. online raffles, fundraising sales, etc.)
  • Provide assistance to teams for fundraising events
  • Organizes EABA annual Raffle Fundraiser
  • Works with AGLC to obtain a license for the raffle and to file all necessary paperwork
  • Coordinates with team manager for raffle delivery and pick up
  • Works with Treasurer once all raffle funds have been collected (Treasurer must be present)
  • Responsible for the ticket drawing and handing out of prizes
  • Manage and track all necessary records
  • Work with Social Media and Volunteer coordinators to plan and promote events
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date
    with board emails

Sponsorship Coordinator (vacant)

  • Develop and finalize EABA Sponsorship package
  • Tracks and ensures all sponsorship requirements are fulfilled
  • Responsible for planning, ordering and distribution of any sponsorship materials (e.g. banners)
  • Actively works to promote and secure sponsorship at the organizational level
  • Assist teams with securing team sponsorship and ensuring commitments are fulfilled
  • Works with Treasurer in the handling of sponsorship funds
  • Works with Social Media Coordinator to ensure sponsorship commitments are
    appropriately planned and fulfilled
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Photo Coordinator 

  • Book photographer for team pictures - to be taken in early May
  • Books locations for photos (indoors or outdoors) depending on photographer and board requirements
  • Attend photo days to ensure everything runs smoothly
  • Create a schedule and coordinate information with all teams
  • Receives and hands out photos from photographer to teams
  • Attends games, evaluations, camps and special events throughout the season to take
    pictures and work with Social Media/Communications Coordinator
  • Provide support to social media communications coordinator
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with board emails
  • Other duties as required (i.e. board representation and assistance at EABA events)

 

Social Media Coordinator 

  • Promotes EABA through Social media – Facebook, Twitter and Instagram on a close to
  • daily basis (develop and maintain all relevant platforms)
  • Work with team photo volunteers to collect weekly event photos and details
  • Build social media network and engage membership
  • Establish a content management system (for developing, sharing and publishing digital content).
  • Works with Webmaster and all teams to compile photos of EABA events
  • Selects and develops content in line with EABA goals and objects
  • Develop a communication schedule to align with sponsorship requirements
  • Develops and implements plans to advertise EABA to increase registration
  • Take high-quality photos of events
  • Attends monthly board meetings, urgent ad-hoc meetings and stays up to date with board emails
